About the role

  • This position is responsible for performing full performance-level work under the limited supervision of the Assistant Deputy Commissioner, Division of Finance and Operations.
  • Position provides technical assistance to stakeholders, reviews applications and manages assigned grant programs.
  • Serves as personnel liaison for all staff reporting to the Assistant Deputy Commissioner including the Bureau of Contracts, Grants, and Procurement Management and other direct reports.
  • Responsible for preparing personnel actions, serving as timekeeper by maintaining attendance and leave records, and preparing position requisitions through the PeopleFirst System.
  • Serves as personal assistant to the Assistant Deputy Commissioner and acts in his/her absence in carrying out administrative duties.
  • Maintains calendar for supervisor by listing all appointments, meetings and conferences on electronic calendar program and arranges travel and hotel reservations and completes travel itineraries and expense vouchers.
  • Independently investigates subject matter, reviews, analyzes, and prepares drafts of memoranda and correspondence on behalf of the Assistant Deputy Commissioner.
  • Maintains tracking system for paperwork flowing in and out of the Assistant Deputy Commissioner’s Office.

Requirements

  • Experience in customer service in an office setting
  • Experience in composing professional correspondence, including proofreading and editing
  • Ability to utilize problem-solving techniques.
  • Ability to organize data into logical format for presentation in reports, documents, and other written materials.
  • Analytical, independent thinker, and problem solver.
  • Ability to work in Excel, Word, PowerPoint and Outlook.
  • Applicants who have direct experience with:

  • Statewide Travel Management System (STMS)
  • People First (Statewide Personnel System)
  • Understanding the requirements and preparing State of Florida personnel hiring practices
