About the role

  • Responsible for timely and accurately maintaining files for all the department’s vehicle tags and titles.
  • Reconciles, audits, codes and processes all department requests for vehicle tags and titles.
  • Hand delivers related documents to the Department of Highway Safety and Motor Vehicles (DHSMV); picks up tags and related documents and sends to appropriate parties within the department.
  • Acts as contact person for the divisions and as liaison between the department and DHSMV.
  • Responsible for making payments using purchasing card (PCard) to the DHSMV for the purchase of new or replacement vehicle tags and registration.
  • Tags and titles are processed within five (5) business days.
  • Responsible for maintaining documentation for the department’s vehicle fuel cards.
  • Distributes fuel cards to the appropriate division within 24 hours of receipt from card provider.
  • Enters mobile equipment into DMS Fleet System for specified divisions within two (2) days of notification and orders fuel card as needed.
  • Primary contact for any issues, charges, or updates in DMS Fleet System and processing the monthly Missing Log report for Department.
  • Responsible for reviewing and analyzing the FLAIR Property Pending File to determine if an item is accountable property.
  • Assigns property numbers and prepares a Property Inventory Transaction (PIT) form for all accountable property items within five (5) business days of item appearing on the Property Pending File.
  • Notifies Accounting Services Administrator of recommended deletions from Property Pending and prepares all Add-To-Inventory and Add-To-Value spreadsheet when appropriate.
  • Responsible for entering batches for miscellaneous insurance and assisting the Accounting Service Administrator in processing them.
  • Assist with processing vehicle accidents for the department.

Requirements

  • A bachelor’s degree from an accredited college or university
  • Two (2) years of experience in property or inventory control
  • Experience in property, inventory control or administrative duties can substitute on a year-for-year basis for the required college education
  • Graduates utilizing education attained in the United States to meet the minimum requirements of a position will not be appointed until verification of the applicable degree has been obtained.
  • Foreign trained graduates utilizing a degree attained outside of the United States to meet the minimum requirements of a position must be prepared to provide a copy of a credential evaluation conducted by an Approved Credential Evaluation Agency.
  • Responses to Qualifying Questions must be verifiable in the Candidate Profile.
