About the role

  • Ensure pre-sales administrative tasks: register the company with clients, prepare and review non-disclosure agreements (NDAs), send quotes and ensure their acceptance, collect and process purchase orders received from clients
  • Invoice clients: send invoices, manage follow-up and payment reminders, reconcile receipts
  • Support the accounting firm: collect and reconcile accounting documents (processing handled by the accounting firm), enter payroll variables in the payroll software
  • Coordinate with external service providers and verify proper execution of their services
  • Provide administrative support for recruitment and onboarding: posting job ads, scheduling interviews, completing entry formalities, preparing workstations and welcome packs
  • Handle certain logistical tasks (reception of clients or candidates, booking occasional travel for staff, purchasing office supplies)

Requirements

  • Associate degree (Bac +2)
  • Ideally, prior experience in a similar role
  • Strong organizational skills
  • High adaptability and flexibility
  • Meticulous, proactive and able to work independently
  • Excellent interpersonal skills
  • Excellent written and verbal communication
  • Good knowledge of English and office tools (Microsoft Office, especially Excel)
