About the role
- Perform the necessary responsibilities to assist the Talent Acquisition team and Hiring Managers to onboard and hire qualified people as well as lead orientation to meet the Company’s workforce needs in a timely manner.
- Maintain agencies contracts and employees - make sure the agreement is saved in the vendor's folder.
- Administration in ATS (currently Paycor, will transition to iCIMS), to include closing out jobs and ensuring candidates are marked as hired in the system.
- Administer pre-employment assessments, follow up for completion and results.
- Administer background checks and D&A testing.
- Maintain ongoing contact with candidates in pool.
- Assist with Employee Referral tracking and administration/request payment of bonuses.
- Administration of temp/agency employees, creating PO’s.
- Administer relocation bonus and coordinate with relocation company – TA specialists are doing but this was not previously part of their job.
- Manage E-Verify and I9 administration for all new hires.
- Assist with reports.
- Assist Recruiting team on assigned special projects.
- Send all new hire paperwork to new hire upon acceptance of offer, follow up for completed forms in advance of start date to ensure employee set up is ready for first day.
- Create new employee files and ensure all forms are filed.
- Coordinate with hiring manager in advance of start date to initiate onboarding requests and confirm day 1 details for start time, location, orientation, company property ready for use.
- Initiate onboarding request through ShermcoYou and notify/provide documents to all applicable departments (Payroll, Safety, HRBP, IT etc).
- Complete E-verify on day 1 for the new hire (I-9).
- Complete new hire orientation - preparation and facilitation.
- Badge photos for new hires on day 1.
- Send the weekly new hires email.
- Support TA with employee requests/ questions.
Requirements
- Must be able to maintain confidentiality and demonstrate maturity and professionalism regarding sensitive information.
- Requires ability to stay organized, multi-task and plan priorities.
- Must be able to work at a fast pace and manage competing priorities.
- Proficiency using and navigating a database.
- Proficiency using internet browsers, and current versions of Microsoft Outlook, Word & Excel.
- Ability to listen, understand and interpret the needs of managers and candidates.
- Must be comfortable making and receiving numerous phone calls each day, and speaking directly to candidates to gain necessary information.
- Positive, service-oriented attitude and easily approachable.
- Fluency in reading, writing and understanding English; bilingual in Spanish a plus, but not required.
