About the role

  • First point of contact for national and international visitors at the reception
  • Professional communication with customers, business partners and guests in German and English – by email, phone and in person
  • Independently organize and carry out office management tasks (e.g., upkeep and preparation of meeting rooms, appointment coordination, ordering/procurement)
  • Cross-departmental collaboration and support for events
  • Smooth coordination and assurance of maintenance measures in the office and outdoor areas
  • Carrying out minor repairs and organizing external service providers (e.g., tradespeople/contractors, property management, cleaning services and other vendors)
  • Taking on projects in the area of office administration

Requirements

  • Completed vocational training in business administration or an equivalent qualification
  • Professional experience at a reception, in an assistant/office administration role, or in trades/facility management
  • Manual skills and technical understanding for minor repair tasks are an advantage
  • Strong knowledge of MS Office (Word, Excel, Outlook)
  • Excellent communication skills and enjoyment of working in a team
  • Structured, independent and proactive working style to contribute ideas and drive projects forward
  • Excellent German skills and good English skills
