About the role

  • Lead and manage projects from inception to completion, ensuring all deliverables meet quality standards, deadlines, and budget constraints.
  • Actively manage all project phases: intake, planning, creation, refinement, feedback & approvals, delivery, analysis, reporting, and archival.
  • Develop comprehensive project briefs that clearly outline objectives, timelines, and deliverables, setting the stage for successful project execution.
  • Assign tasks and manage project workflows, ensuring that all team members understand their roles and responsibilities.
  • Proactively identify potential risks and establish backup plans, ensuring projects stay on track (“hope for the best; plan for the worst”).
  • Track and monitor tasks to ensure that projects stay on track, making adjustments as needed to meet deadlines.
  • Think ahead: stay 2-3 steps ahead in the creative process by continuously reaching out to stakeholders, producers, partners, and vendors.
  • Ensure quality assurance by confirming that projects meet marketing requirements, adhere to brand guidelines and achieve the desired objectives.
  • Establish standardized project management practices, such as SLAs, creative briefs, and SOPs, to improve project efficiency and clarity.
  • Prepare and deliver weekly proactive status reports to management and stakeholders, highlighting team output, accomplishments, and relevant metrics.
  • Manage production and team budgets, as well as organize and oversee social content productions.
  • Coordinate team briefings, project kickoffs, internal reviews, and other meetings as needed to keep all stakeholders aligned.
  • Collaborate with cross-functional marketing partners on quarterly project planning, ensuring technical feasibility and resourcing availability.
  • Oversee and manage project management tools, making sure they’re set up and used as efficiently as possible.

Requirements

  • 4+ years of experience working on creative projects in a marketing environment, ideally within an in-house context and for a B2B SaaS company.
  • Experience in marketing is a MUST.
  • Proven ability to develop and manage comprehensive project briefs, workflows, and formal intake processes.
  • Proficient in the nuances of creative projects: scoping, planning, resourcing, day-to-day project management, timeline creation, and defining and reducing risks.
  • Strong organizational skills, with a demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.
  • Exceptional communication skills, with experience in stakeholder management and the ability to articulate complex project processes and creative needs.
  • Experience in process improvement, with a track record of building and refining project management processes for better efficiency.
  • Proficiency with project management tools, such as Asana.
  • Leadership qualities, with the ability to motivate and guide teams to deliver high-quality work on time.
  • Experience measuring results and aligning them to marketing KPIs, with rigorous reporting on project health and team performance.
  • Strong problem-solving and critical thinking skills, with a pragmatic but flexible approach to managing creative projects.
  • Acute attention to detail and accuracy, with high standards for work quality.
