About the role
- Oversee office supply management: organization, inventorying, ordering, and restocking supplies
- Maintain cleanliness in community areas and conference rooms (unload dishwasher, clean refrigerators, stock beverages/paper goods/restrooms, tidy conference rooms)
- Serve as designated point of contact for landlord and greet guests/vendors
- Coordinate large maintenance/repair tasks and self-perform simple maintenance tasks
- Oversee office furnishing updates and seating assignments, manage desk hoteling software
- Complete regular expense reports for the office credit card (weekly) and receive/review vendor invoices
- Establish and implement processes to scale office operations and document office-related procedures
- Collect, organize, and distribute office mail and voicemail
- Support interview scheduling and day-of coordination, including calendaring and travel booking
- Implement meeting management techniques (create agendas and notes)
- Order and distribute business cards; receive and prepare packages for shipping
- Serve as primary point of contact for safety issues in the corporate office
- Support planning of celebrations, team lunches, offsites, and other events; drive community building and communication via MS Teams
- Serve as primary liaison for janitorial, maintenance, and IT vendors; manage vendor budgeting and vendor changes
- Welcome and support onboarding new hires; order, prepare, and distribute IT equipment and maintain equipment logs
- Collaborate with Executive Assistant and other onboarding team members
- Perform other duties as assigned
Requirements
- High school diploma or equivalent + 5 years of work experience in a role with similar responsibilities OR a college degree + 2 years of work experience
- Previous experience in office management, hospitality, property management, or outdoor education, retail preferred
- Work ethic, interpersonal skills, and professionalism
- Must be able to perform cleaning, moving, and lifting up to 50 pounds on an ongoing basis
- Ability to drive engagement across multiple audiences through robust and clear communication skills
- Personal vehicle that can be used for work purposes (with mileage reimbursement) is required
- Ready-to-Work physical and drug screen required
- High proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint, Forms, and Teams), a corporate expense reporting system, a travel management system, and various online services (e.g., Amazon, FedEx)
