Administrative Assistant

• Provide administrative support to the Project Manager and leadership team for a workforce of approximately 50 employees
• Manage and maintain employee-related documentation, including time-off requests, vacation tracking, and personnel paperwork
• Serve as a point of contact for employee inquiries, including phone calls and general administrative requests
• Develop, maintain, and update Excel-based tracking tools, reports, and lists
• Assist with daily and weekly operational reporting, including data compilation, validation, and formatting
• Utilize Excel functions and formulas to analyze data; create and maintain pivot tables as needed
• Maintain organized electronic and physical filing systems in accordance with company policies
• Support the implementation and adherence to office policies and procedures
• Coordinate logistics and planning support for traveling personnel, including schedules and documentation
• Provide administrative support to visitors at the warehouse or office location
• Act as a liaison and point of contact for internal departments and external clients as needed
• Manage calendars, schedule meetings, and coordinate communications on behalf of leadership
• Provide general administrative support to employees, ensuring they have the resources needed to perform their duties effectively

Office Manager

• Paints product according to painting specifications
• Tack out drips and runs
• Select appropriate paint or mix paints using automated paint mixing equipment
• Operate hand-held spray guns or other mechanized painting
• Masks off all areas not requiring paint
• Applies primer and topcoat and checks for drips and runs after drying
• Mixes paint with thinner according to paint specification sheet
• Paint small items or apply touch-ups using paint brushes
• Cleans painting equipment and paint booth
• Maintain a safe and clean working environment by complying with procedures, rules, and regulations

Account Executive

• Make outbound calls to potential customers to introduce our energy efficiency solutions, generate interest, and schedule appointments
• Handle incoming calls, providing information, addressing questions, and scheduling appointments
• Meet and exceed monthly, quarterly, and annual outbound call targets
• Evaluating list quality researching customer information
• Maintain thorough knowledge of the company’s energy solutions to suggest appropriate solutions to prospects (training provided)
• Keep records of calls and note useful information in our CRM system (HubSpot)
