About the role

  • Act as the first point of contact for pet owners—handling calls, scheduling appointments, managing follow-ups, and ensuring a smooth client experience.
  • Answer incoming calls with professionalism, empathy, and clarity
  • Support pet owners with questions and appointment coordination
  • Schedule, reschedule, and confirm appointments
  • Ensure efficient calendar utilization based on clinic needs
  • Follow up on missed calls, voicemails, cancellations, and no-shows
  • Route messages to the appropriate clinic staff
  • Maintain accurate client and patient records
  • Support inbox management, reminders, and daily admin workflows
  • Deliver a calm and supportive tone aligned with veterinary care standards
  • Handle high call volumes while maintaining quality service

Requirements

  • +3 years of experience in customer service, receptionist, or scheduling roles
  • Experience in veterinary, medical, or high-volume service environments (preferred)
  • Strong phone presence and ability to manage frequent calls
  • Comfortable using CRM systems, scheduling tools, and digital platforms
  • High attention to detail and strong organizational skills
  • Fluent English (spoken and written)
  • Spanish is a strong plus
  • Reliable remote setup with stable internet
  • Available to work full-time in U.S. time zones
