About the role
- Manage and coordinate real estate transactions from listing through closing
- Track timelines, contingencies, and ensure all deal milestones are met on time
- Draft, review, and manage contracts including listing agreements, offers, counteroffers, addenda, and closing documents
- Facilitate document execution through platforms such as DocuSign
- Coordinate escrow-related activities including inspections, appraisals, disclosures, and closing logistics
- Maintain due diligence folders, audits, and seller requirement checklists
- Maintain accurate and up-to-date deal files, trackers, and pipeline logs
- Monitor offers, counteroffers, and transaction progress using tools like Trello or similar platforms
- Manage property listings across platforms such as LoopNet, Crexi, MLS, LinkedIn, and company websites
- Update property status, pricing, and listing details as required
- Act as a liaison between clients, agents, and internal teams, ensuring clear and timely communication
- Respond to inquiries and manage follow-ups in a structured and professional manner
- Organize transaction files, closing documents, and internal submissions
- Handle urgent or quick-turn requests with effective prioritization
Requirements
- A 4-Year Bachelor’s degree is preferable, ideally in Business Studies, Real Estate, Finance, or a related field
- 6 years of experience in a Transaction Coordinator, Administrative, or Operations role within commercial or multifamily real estate
- Strong understanding of real estate deal flow, escrow processes, and due diligence requirements
- High attention to detail with the ability to manage multiple transactions simultaneously
- Strong written and verbal communication skills with a professional tone
- Familiarity with tools like DocuSign, Trello, CRM systems, and listing platforms is preferred
- Ability to work independently with a proactive, ownership-driven mindset
