About the role
- Managing executives’ calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules proactively based on last-minutes changes.
- Resolving all calendar conflicts effectively and efficiently.
- Exercise independent, professional judgment and discretion when managing priorities on behalf of executives.
- Coordinate complex travel arrangements and complete expense reports and other associated tasking in a timely manner.
- Compile and/or assist in preparation of various documents, to include but not limited to meeting minutes, presentations, reports, correspondence, and other materials.
- Attend meetings and other functions as requested.
- Assists lower-level staff in gathering, verifying and processing documentation.
- Work with other admins on various projects and assisting with improving processes where necessary.
- May be responsible for following up on assignments of department, committee, assigned group, etc., to ensure decisions are implemented and appropriate person are notified.
- Create standard work for travel, expense reporting, conference booking, catering, etc.
- May provide executive assistant services as a direct assistant to Senior Executives.
- Reviews drafts and finished documents for appropriate grammatical usage and answers questions relating to office operations and established policies and procedures.
- Meeting preparations to include booking conference rooms, coordinating catering facilities, visitor workflows etc.
- Maintain accurate & updated organization charts.
- This position will work during the core hours in either Eastern or Central time zone.
Requirements
- Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience
- Experience as an Executive Assistant or Administrative Assistant supporting senior level or executive level leaders.
- Experience using Zoom and Microsoft Office (Outlook, OneNote, PowerPoint, Word, Teams, or Excel, etc.)
- Experience with calendar management, meeting scheduling and coordination, event planning, and generation of travel and expense reports.
- Experience supporting multiple executives concurrently in a fast-paced environment
- Familiarity with corporate travel booking tools and expense systems.
- Experience coordinating off-site meetings or events as needed.
