About the role

  • Coordination of interview appointments for candidates at leadership levels (Partner/Director/Principals)
  • Alignment of interview participants in close collaboration with HR Business Partners
  • Collecting and reconciling possible interview times with Partners
  • Organizing and sending calendar invitations via Outlook, including setting up online video conferences
  • Entering and updating data in SmartRecruiters
  • Creation and maintenance of HR documents
  • Preparation of standardized documents such as secondary employment approvals, references, and cover letters
  • Setting up and sending mail merges (e.g., for the bonus process or congratulatory letters)
  • Maintenance and further development of our tools for contract and reference creation, including setting up and managing field codes for text modules
  • Maintaining personnel file data
  • Maintaining overview lists to manage external recruiting activities
  • Documentation and reconciliation of our headhunter activities

Requirements

  • Fluent German and English, spoken and written
  • Ideally (initial) experience in recruitment support and scheduling interviews
  • Ideally (initial) experience in employee contract management
  • Organizational talent and a structured, careful way of working
  • Friendly and professional communication style
  • Committed and reliable work approach
  • Good knowledge of MS Office
