About the role
- Organize and Maintain Legal Files: Manage a high volume of legal files and documents, including highly sensitive and confidential materials relating to all departments.
- Maintain Filing Systems & Legal Resources: Develop, organize, and maintain filing systems, a law reference library, and supporting materials.
- Monitor and Coordinate File Activity: Independently track file progress, maintain follow-up systems, screen incoming correspondence, and draft responses.
- Calendar & Meeting Management: Organize meetings, schedule appointments, and maintain lawyers’ calendars.
- Collaborative Relationship Building: Develop and maintain strong internal and external working relationships.
- Document Preparation: Prepare high-quality correspondence, memos, reports, opinions, briefing notes, agreements, by-laws, and other legal documentation.
- Purchasing & Document Execution: Manage purchasing processes and document execution procedures.
- Council Reporting Coordination: Assist in the preparation and coordination of cross-departmental Council reports and related documentation.
- Docket & Financial Tracking: Operate docket systems, prepare journal entries, and manage internal charge-backs effectively.
- Court & Tribunal Procedures: Serve and file documents with courts and tribunals within prescribed timelines, recognizing and managing critical deadlines.
Requirements
- Post-secondary education in legal office administration
- Minimum of five years relevant experience in a law firm or in-house legal department
- Familiarity with municipal law and documentation
- Proficient word processing skills, combined with a keen sense of accuracy and attention to detail
- Strong computer skills, utilizing MS Office to be able to deal with multiple tasks and priorities
- Excellent communication skills, both written and verbal
