About the role

  • Organize and Maintain Legal Files: Manage a high volume of legal files and documents, including highly sensitive and confidential materials relating to all departments.
  • Maintain Filing Systems & Legal Resources: Develop, organize, and maintain filing systems, a law reference library, and supporting materials.
  • Monitor and Coordinate File Activity: Independently track file progress, maintain follow-up systems, screen incoming correspondence, and draft responses.
  • Calendar & Meeting Management: Organize meetings, schedule appointments, and maintain lawyers’ calendars.
  • Collaborative Relationship Building: Develop and maintain strong internal and external working relationships.
  • Document Preparation: Prepare high-quality correspondence, memos, reports, opinions, briefing notes, agreements, by-laws, and other legal documentation.
  • Purchasing & Document Execution: Manage purchasing processes and document execution procedures.
  • Council Reporting Coordination: Assist in the preparation and coordination of cross-departmental Council reports and related documentation.
  • Docket & Financial Tracking: Operate docket systems, prepare journal entries, and manage internal charge-backs effectively.
  • Court & Tribunal Procedures: Serve and file documents with courts and tribunals within prescribed timelines, recognizing and managing critical deadlines.

Requirements

  • Post-secondary education in legal office administration
  • Minimum of five years relevant experience in a law firm or in-house legal department
  • Familiarity with municipal law and documentation
  • Proficient word processing skills, combined with a keen sense of accuracy and attention to detail
  • Strong computer skills, utilizing MS Office to be able to deal with multiple tasks and priorities
  • Excellent communication skills, both written and verbal
