About the role

  • Manage complex Outlook calendars requiring interaction with both internal and external executives, assistants, and vendors to coordinate a variety of meetings.
  • Coordinate timing and logistics of internal executive-level and company-wide meetings; assist with the preparation and distribution of meeting materials; order refreshments/lunch; take meeting notes; etc.
  • Draft reports, letters, memos and presentations.
  • Support payroll, including submitting Bereavement and Jury hours, and tracking salaried PTO.
  • Communicate with the VP's supporting to ensure they are prepared, organized, and ready for all meetings and events.
  • Coordinate complex travel arrangements, track expenses and prepare/submit reports.
  • Maintain communication boards and partner with leaders to obtain updated material.
  • Support the Culture Committee to budget and plan company events and extracurricular activities.
  • Be available for special projects and general administrative responsibilities as assigned.
  • Support other EAs when needed to balance workloads.
  • Other responsibilities as directed and necessary for the business.

Requirements

  • 5+ years of executive, administrative experience
  • Bachelor's degree or an equivalent combination of education and experience.
  • Proficient in Office 365: TEAMS, Word, Excel, PowerPoint, and Outlook
  • Excellent proofreading/editing skills
  • Exceptional communication skills with the ability to communicate with internal and external customers at all levels
  • Demonstrated ability to take initiative and anticipate needs
  • Direct experience dealing with confidential matters
