About the role
- Provide multi-faceted daily assistance to one or multiple company executives.
- Manage and organize executive operations, schedules, and correspondences to maximize efficiency, meet deadlines, and resolve conflicts and downtime.
- Prepare meeting presentations/agendas/notes, lead meetings, and attend meetings with or on behalf of the executive as needed.
- Coordinate the collection and dissemination of information between departments and liaise with the team on behalf of the supervisor.
- Review contract requirements and partake in design and construction projects to develop sufficient fluency for communication purposes.
- Research and analyze data to determine the most feasible problem solutions for projects.
- Develop and update project and company schedules, estimates, budgets, cash flows, accruals, etc.
- Work with the executive to ensure all projects meet allocated schedule milestones and budgets.
- Provide other staff with field and office assistance in preparing technical documents.
- Monitor progress and compile reports on project status and problems occurring during project delivery.
- Coordinate and verify project records and documents and advise management on needed actions.
- Actively participate in various learning experiences, including workshops and training sessions.
- Request and review proposals from vendors to ensure they are reasonable and competitive.
- Manage vendor contracts, change orders, requests for information, and concerns.
- Promote a sense of team amongst staff consistent with the company’s core values.
- Ensure the company’s registrations, certifications, licenses, and dues remain current.
- Coordinate project and company-related travel arrangements.
- Perform other project-related duties as assigned by the supervisor.
Requirements
- An associate degree in Construction Management, Civil Engineering, Civil Engineering Technology, or a directly related field with a minimum of 5 years of relevant experience or
- 4-year college degree in Civil Engineering from an accredited university with a minimum of 2 years of experience in Engineering and Construction or a related field required.
- Highly process-oriented and fast-paced worker with a sophisticated ability to use technology to prioritize and guarantee effective communication and expedited task management.
- Advanced proficiency with computer use including database operations; MS Office products (Excel, Word, PowerPoint); Google Suite, and other process and document management programs.
- An advanced level of fluency in written and spoken English, including technical report writing.
- Strong interpersonal, time management, organizational, leadership, and project management skills.
- Ability to remain effective under extreme pressure with multiple priorities and tight deadlines.
- Strong ability to work independently, quickly adapt to change, and demonstrate flexibility to various schedules and hours to meet business needs.
- Must possess a valid driver’s license and be able to drive for extended periods. Occasional travel may be required.
