About the role
- Collect, review and submit mobility programme applications to relevant institutions
- Communicate with government institutions to follow up on applications and resolve issues
- Provide guidance to beneficiaries on relevant procedures and requirements
- Review direct aid applications and participate in strategic discussions with project managers
- Clarify beneficiaries' needs and estimate associated costs
- Verify background information by contacting partners, references, and online sources
- Prepare administrative documentation: applications for signature, contracts, payment methods, liaise with finance, anonymizations, and tracking tables
- Follow up with beneficiaries for confirmations, reporting, and application rejections
- Answer beneficiaries' ad-hoc questions and provide ongoing support
- Self-organization and workflow management, and participate in internal process discussions and improvements
Requirements
- Fluency in English and Russian; knowledge of Czech (native or advanced) is considered an advantage.
- Strong organizational skills and attention to details, with the ability to effectively manage multiple cases simultaneously.
- Emotional intelligence and resilience, maintaining clear professional boundaries while working sensitively with beneficiaries who may be experiencing stress or frustration.
- Comfort with routine and process-driven tasks, demonstrating consistency, reliability and accuracy in their work.
- Proven relevant experience in a similar role or field is considered a strong asset.
