About the role

  • Own complex, high-volume interview scheduling across global time zones, including multi-panel and executive-level interviews
  • Proactively manage scheduling logistics, anticipate conflicts, and resolve issues with minimal recruiter involvement
  • Serve as one of the primary points of contact for candidates throughout the interview process, delivering a polished and thoughtful candidate experience
  • Partner closely with recruiters and hiring managers to ensure interview plans are executed accurately and on time
  • Act as a day-to-day ATS power user in Ashby, ensuring data integrity, compliance, and consistency across all requisitions
  • Process and validate requisition requests, ensuring approvals, job details, and workflows are correctly configured
  • Open and configure jobs in Ashby, including interview plans, scorecards, hiring teams, and automation where applicable
  • Monitor pipelines and flag potential bottlenecks or data gaps to Talent Acquisition Partners
  • Support reporting, audits, and data hygiene efforts as needed
  • Create, update, and maintain recruiting SOPs, playbooks, and policy documentation in partnership with People Team leadership
  • Identify opportunities to improve scheduling efficiency, candidate communication, and ATS workflows
  • Support ad hoc talent projects related to process optimization, tooling, or scale-readiness
  • Serve as a knowledge resource for recruiting operations best practices within the Talent team

Requirements

  • 3–5 years of experience in Talent Acquisition coordination, recruiting operations, or HR operations
  • Strong hands-on experience with an ATS; Ashby experience highly preferred
  • Demonstrated success managing complex interview scheduling in a global, fast-paced environment
  • High attention to detail with the ability to spot issues before they become problems
  • Excellent written and verbal communication skills with candidates, recruiters, and senior stakeholders
  • Comfortable working independently and prioritizing work with limited direction
  • Experience supporting recruiting teams in a SaaS, tech, or high-growth company preferred
  • Familiarity with global hiring practices and cross-regional coordination preferred
  • Experience contributing to or leading process improvements or operational projects preferred
  • Experience with MS Office, Ashby, Slack, Confluence, Asana, Sharepoint, and similar tools preferred.
