About the role

  • Get things done, whatever is needed
  • Ensure the smooth running of daily operations
  • Manage the office: coordinate supplies, equipment, service providers and vendors
  • Coordinate meeting rooms, including bookings and general availability
  • Handle visitor management
  • Support internal events, team activities and office-related logistics
  • Manage incoming and outgoing mail
  • Monitor company expenses and ensure each transaction is accurately recorded and categorized
  • Assist with vendor communications regarding invoices, payments and clarifications
  • Help the team understand and follow correct procedures for invoices and expenses
  • Support HR administrative tasks (onboarding, documentation, general personnel matters)

Requirements

  • Some professional experience in operations, office management, administration, HR or finance (agency experience is a plus but not required)
  • Strong knowledge of Microsoft 365; experience with tools such as Notion, Pliant, Datev or similar is a bonus
  • A structured, reliable and hands-on mindset: you want to take responsibility and get things done
  • An eye for detail without losing sight of the big picture
  • Ability to juggle multiple tasks and priorities simultaneously
  • A natural service-oriented mentality and strong communication skills
  • A genuine interest in how a creative agency operates beyond a single department
  • Excellent German and English skills
