About the role
- Get things done, whatever is needed
- Ensure the smooth running of daily operations
- Manage the office: coordinate supplies, equipment, service providers and vendors
- Coordinate meeting rooms, including bookings and general availability
- Handle visitor management
- Support internal events, team activities and office-related logistics
- Manage incoming and outgoing mail
- Monitor company expenses and ensure each transaction is accurately recorded and categorized
- Assist with vendor communications regarding invoices, payments and clarifications
- Help the team understand and follow correct procedures for invoices and expenses
- Support HR administrative tasks (onboarding, documentation, general personnel matters)
Requirements
- Some professional experience in operations, office management, administration, HR or finance (agency experience is a plus but not required)
- Strong knowledge of Microsoft 365; experience with tools such as Notion, Pliant, Datev or similar is a bonus
- A structured, reliable and hands-on mindset: you want to take responsibility and get things done
- An eye for detail without losing sight of the big picture
- Ability to juggle multiple tasks and priorities simultaneously
- A natural service-oriented mentality and strong communication skills
- A genuine interest in how a creative agency operates beyond a single department
- Excellent German and English skills
