About the role

  • Serve as primary contact point, internal owner, and project manager of annual Leadership Forum and Summit conferences, and all related event elements.
  • Leads, monitors, and supports Events team to achieve organizational and professions goals that contribute to the growth of the Events Team and organization.
  • Support the Vice President of Events on the planning and execution of all Out & Equal Event Logistics aligning with strategy and mission.
  • Lead project and process management for overall event planning timelines, process, and execution.
  • Develop milestone calendar for all event-related deliverables and oversee their timely execution.
  • Meet regularly and communicate deadlines to internal staff and external stakeholders to ensure web content, event marketing materials, décor, and signage are developed on time and on brand.
  • Assist in development of processes and standards governing event support & logistics).
  • Enter, track, assign, and report on projects, data, and progress for all aspects of events within the technology and tools used organizationally. (Asana, Cvent, Passkey)
  • Analyze and report on progress related to ongoing event elements and processes.
  • Serve as escalation point for vendors, assigned event elements, and processes to the Vice President of Events.
  • Support on-site activities, staff scheduling and management.
  • Other duties as assigned

Requirements

  • Bachelor’s degree; degree may be substituted for an equivalent amount of experience.
  • Six (6) or more years of related experience in corporate and or non-profit business event planning, on-site event management, and project management.
  • Experience with multiple technology tools including project management (Asana), event planning, Registration, housing, and virtual tools (Cvent, Social Tables, or comparable software)
  • Preferred Experience with Pathable, or comparable virtual event platforms and applications
  • Experience with website publication platform
  • Effective cross team collaborator
  • Detail-oriented, multi-task and quality-focused work
  • Experience and supportive of LGBTQ+ issues and communities
  • Experience handling sensitive and confidential information and events
