About the role
- Draft and manage the EVP's personal donor, partner, and stakeholder communications, including email correspondence
- Assist the EVP in scheduling donor meetings and drafting correspondence related to grant submissions, reports, and donor updates
- Conduct research on donors and new fundraising leads
- Maintain and update donor and partner information in the CRM system (Salesforce)
- Anticipate and execute the Vice President of Development’s and the EVP’s priorities as they relate to tracking of donor giving and timely follow-ups that strengthen relationships and stewardship
- Event coordination support
- Prepare a weekly update for the fundraising team, summarizing programmatic events across divisions
- Assist the Vice President of Development in the compilation of target donor lists and drafting meeting requests
- Ensure materials are organized and available to the EVP before donor meetings and follow up on action items post-trip
- Assist in logistics for donor-related events
- Assist in speech writing for events
- With precision, manage the EVP’s calendar to schedule meetings/Zoom calls
- Daily check-in with the EVP to review the schedule and follow up from prior calendared events, meetings, or calls
- Create daily morning emails with top to dos, housekeeping, meeting reminders, and important information to relay
- Liaise with internal staff to gather necessary materials, track deliverables, and ensure timely completion of tasks
- Work with the podcast teams to schedule recordings, liaise with podcast guests, and schedule script review for the EVP
- Ensure that CRM systems (Salesforce and Wrike) are updated in real time
- Maintain records for monthly expense reporting
- Reports to the Executive Vice President (EVP)
Requirements
- 2–5 years of experience in administrative support
- Strong written communication skills, including experience drafting professional emails or donor/stakeholder correspondence
- Experience conducting prospect research on donors and new leads
- CRM/database management experience (Salesforce preferred), with the ability to track and maintain donor information
- Manage multiple tasks and ensure timely follow-up
- High attention to detail, especially when preparing the EVP’s calendar
- Strong organizational and time management skills, with the ability to manage schedules and coordinate with internal teams
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant tools
- Previous experience supporting a senior executive or high-profile professional
- Experience in a nonprofit, development, or fundraising environment (a plus but not required)
- Familiarity with Jewish community organizations, philanthropy, or Israel-related causes (a plus but not required)
- Willingness to work across time zones
