About the role
- Own and drive complex, cross-functional projects from inception to completion, particularly those related to the People Organization
- Analyze current operational workflows, identifying inefficiencies and implementing strategic solutions to streamline processes and optimize executive time and focus
- Coordinate and manage project-related communications, status updates, and expectations across internal teams, executive leadership, and external partners
- Design and lead effective project check-ins, steering committee meetings, and leadership operational reviews, ensuring clear agendas, decisive outcomes, and documented action items
- Develop and maintain dashboards or tracking tools to monitor project progress, key performance indicators (KPIs), and overall operational health
- Act as a primary filter and organizer for the CPO and People Organization’s Strategic Projects and Change Management Leader, prioritizing tasks, emails, and meetings to ensure executive focus aligns with strategic organizational goals
- Manage intricate and dynamic calendars across multiple time zones, including scheduling high-stakes internal and external meetings, and coordinating detailed domestic and international travel arrangements
- Prepare comprehensive meeting materials, presentations, and pre-reads (e.g., Board decks, QBR materials, executive summaries)
- Attend key meetings to capture action items, ensure timely follow-up, and track accountability across teams
- Draft, edit, and proofread high-level communications, including internal announcements, executive summaries, and external correspondence on behalf of the supported executives
- Process and reconcile expense reports, manage departmental invoices, and track budgets for specific executive-led initiatives
- Organize and execute internal team events, offsites, and morale-building activities for the executives' teams
Requirements
- 2-5 years of experience in project management and executive assistance
- Project Management Certification (preferred): PMP, CAPM, or equivalent certification or demonstrated experience with project management methodologies (Agile, Waterfall, etc.)
- Exceptional organizational and time management skills, with a proven ability to manage multiple priorities simultaneously in a fast-paced environment
- Outstanding written and verbal communication skills; comfortable drafting executive-level communications and delivering clear, concise project updates
- Proven ability to handle confidential information with the utmost discretion and integrity
- Advanced proficiency with Google Workspace, Project Management Software (SmartSheet)
- Ability to anticipate executive needs and proactively identify potential roadblocks or opportunities, translating high-level strategy into executable plans
