About the role
- Lead new client onboarding logistics — staffing project teams, scheduling internal and external kick-off calls, and making sure client products and assets get where they need to go.
- Partner with Producers and Account Managers to track timelines, deliverables, and resourcing across multiple projects.
- Coordinate cross-functional communication between creative, strategy, and client teams to keep projects on track and organized.
- Manage project documentation, schedules, and status updates so teams always know what’s next.
- Support with operational workflows — from asset tracking to vendor coordination — to keep Donut projects running like clockwork.
- Partner with department leads on large-scale, cross-functional initiatives that span creative, strategy, and operations.
- Using project management tools like Asana to help plan, track, and optimize these cross-functional initiatives.
- Help audit, build, and improve Donut’s internal reporting systems
- Lead monthly reporting processes, including production expense tracking, client invoicing (AR), and contractor invoicing.
- Own key operational workflows such as platform onboarding/offboarding, seat audits, and asset tracking.
- Maintain clean documentation, schedules, and updates so stakeholders always know what’s next.
- Lead new client onboarding logistics — from staffing project teams to scheduling kickoffs and ensuring assets are received and organized.
- Jump in where needed to help the team stay agile, efficient, and ahead of deadlines.
Requirements
- 1–2 years of experience in project coordination, production, or creative operations (agency or in-house studio experience a plus).
- Strong organizational and time-management skills — you can juggle multiple priorities without dropping the ball.
- Comfortable working in project management tools (Asana, Monday.com, or similar).
- Proficiency with Google Workspace (Docs, Sheets, Slides) and general comfort navigating new platforms and tools.
- Clear, confident communicator — both written and verbal.
- A collaborative, solutions-oriented mindset — you enjoy bringing order to creative chaos.
- A proactive mindset — you don’t wait to be told what to do, you identify the next step and go
