About the role
- Serve as a trusted partner to the SVP/CIO, supporting confidential and strategic initiatives including annual planning, personnel matters, legal topics, and company wide data.
- Prepare, draft, and refine a wide range of communications—including memos, presentations, reports, tables, and business plans—ensuring clarity, accuracy, professionalism, and executive level quality.
- Develop, curate, and maintain polished professional materials for internal and external audiences.
- Manage complex domestic and international travel logistics, including itineraries, briefing materials, and contingency planning.
- Lead planning and seamless execution of internal events, department meetings, and offsites, ensuring well coordinated logistics from start to finish.
- Build strong relationships across the organization and with external partners; serve as a key connector between teams, fostering collaboration and trust.
- Provide insights that enhance team effectiveness, operational efficiency, and overall business performance.
- Coordinate facilities, catering, presenters, invitations, and budgets for programs, events, and meetings.
- Anticipate and resolve schedule conflicts, ensuring optimal use of leadership time through excellent time management and prioritization.
- Bring positivity, professionalism, and approachability to the team; communicate clearly and effectively with employees at all levels.
Requirements
- Highly organized, efficient, and able to manage multiple priorities with strong time management skills.
- Demonstrated ability to collaborate effectively with executive administrative staff to plan and execute meetings and events.
- Proven track record supporting senior leaders in fast paced, highly complex environments.
- Experience working in technology companies in Executive Administration or Project Management roles.
- Demonstrated examples of improving processes, challenging existing norms, and driving operational efficiency.
- Exceptional written and verbal communication skills; comfortable presenting to groups when necessary.
- Strong relationship building skills and the ability to partner effectively with employees at all levels, including senior leadership, customers, vendors, and visitors.
- Meticulous attention to detail in planning, drafting, and reviewing materials.
- Experience leading complex, cross functional projects requiring alignment across multiple teams.
- Understanding of social media best practices and ability to draft or share content in compliance with company guidelines.
- Advanced proficiency in Microsoft Office, especially PowerPoint, Excel, and Outlook.
- Proven ability to maintain the highest levels of confidentiality and discretion.
- Ability to work onsite a minimum of four days per week to support operational and executive needs.
