About the role

  • Direct and manage all tenant relations to resolve tenant concerns and maintain high tenant satisfaction, serving as the primary contact for tenant inquiries, work orders, and service issues
  • Oversee all day-to-day property operations, including planning tenant communications, making recommendations on operational improvements, and executing plans to resolve any tenant or operational issues
  • Manage lease administration by preparing correspondence, analyzing lease abstracts, monitoring key dates such as escalations, renewals, and options, making recommendations for action, and executing plans
  • Supervise compliance and records management of contracts, certificates of insurance, vendor W-9s and related documents, exercising judgment to ensure legal and operational compliance
  • Oversee property compliance programs, including scheduling, managing, and independently ensuring completion of annual property requirements such as fire equipment inspections, backflow certifications, and state mandates like energy benchmarking, making decisions to address any compliance gaps
  • Manage tenant communications, including contact details and determine the timing, content, and distribution of property communications
  • Oversee financial processing, receiving invoices, and ensuring prompt processing by determining proper coding to the correct general ledger accounts, identifying discrepancies, and approving payment processing
  • Prepare the management reports draft, highlighting key operational and financial trends for ownership review
  • Develop, prepare, and actively manage the annual operating and capital budgets, tracking variances and expenses against the budget
  • Direct and verify utility account management, ensuring property utility accounts are paid correctly and resolve any billing disputes or issues
  • Manage and review vendor service contracts including coordinating vendor services for maintenance, landscaping, fire protection, roofing, HVAC, and more
  • Direct emergency response operations, making time-sensitive independent decisions to protect property, tenant safety, and minimizing operational disruption
  • Ensure property files on SharePoint are current and accurate regularly
  • Other duties as assigned

Requirements

  • Bachelor's degree in business, real estate or related field (or extensive relevant experience in lieu of degree)
  • 1-3 years of commercial property management experience
  • Ability to communicate effectively, both verbally and in writing
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Proficiency with using Yardi program
  • Ability to establish and maintain productive working relationships with tenants, vendors, and staff
  • Ability to work extended hours as needed
