About the role
- Proposal Coordination and Support
- Support the preparation and submission of proposals, qualifications, and other client deliverables for assigned stakeholders.
- Assist with RFP and RFQ intake, organization, and scheduling.
- Help develop proposal schedules, compliance checklists, and content outlines.
- Coordinate inputs from subject matter experts, project managers, and technical staff.
- Format proposals and supporting materials in Word, PowerPoint, PDF, and InDesign.
- Support version control, file organization, and final quality checks prior to submission.
- Assist with uploading proposals to client portals and bidding/procurement sites.
- Content and Library Support
- Maintain resumes, project descriptions, and past performance content.
- Assist with updating proposal templates, boilerplate language, and graphics.
- Help ensure proposal materials align with brand and formatting standards.
- Support organization of proposal content in shared repositories and systems.
- Process and Administrative Support
- Track proposal status and deadlines to support high quality, on-time submissions.
- Assist with proposal metric reporting as requested by leadership.
- Support continuous improvement efforts by documenting lessons learned and feedback from submissions.
- Conduct research of pipeline aggregator sites, and bid and proposal sourcing databases to identify suitable proposal opportunities.
Requirements
- Bachelor's degree in English, Communications, Marketing, Business, or a related field preferred, or equivalent relevant experience
- At least three (3) years of experience in proposal coordination, business development support, marketing, or a related role preferred
- Proficiency in Microsoft Word, SharePoint, PowerPoint, Excel, and Adobe Acrobat is required
- Proficiency in ClickUp, Aprimo, Salesforce, or Loopio desired
- Internship or entry level experience in proposals, consulting, or professional services environments is a plus
- Prior experience with public sector (municipal, state, federal) proposal responses
- Shipley and/or APMP certifications and training are desired.
