About the role

  • Serving as primary executive support to senior leadership, providing high-trust administrative support, including managing complex executive calendars to align schedules with evolving business priorities;
  • Acting as a liaison between executives and internal/external stakeholders;
  • Handling sensitive and confidential information with discretion and professionalism;
  • Proactively coordinating client meetings, internal strategy sessions, board engagements, travel, and conferences;
  • Preparing briefing materials and ensuring leaders are prepared for high-impact engagements;
  • Coordinating travel logistics, itineraries, and expense documentation;
  • Supporting the day-to-day operations of the DC office to ensure an organized, welcoming, and efficient environment;
  • Providing top-quality service to internal and external stakeholders, including remote and NYC office based employees;
  • Managing vendor relationships and track operational expenses;
  • Maintaining office budget tracking systems and drafting spend recommendations as needed;
  • Leading logistics for in-house and off-site activities that strengthen culture and collaboration;
  • Supporting various contract processes and facilitating reviews with legal team;
  • Joining colleagues in building an inclusive environment, actively advancing MissionWired’s DEIB values;
  • Serving as a professional representative of MissionWired internally and externally.

Requirements

  • 2+ years of experience serving as a primary administrative or operational liaison in a professional office environment;
  • Demonstrated ability to anticipate leadership needs and proactively resolve scheduling or workflow bottlenecks;
  • Experience supporting senior leadership in a fast-paced, client-facing organization;
  • Proven ability to build trusted relationships with internal stakeholders;
  • Strong judgment and discretion when handling confidential information;Demonstrated ability to remain calm, professional, and solutions-oriented in high-pressure or time-sensitive situations;
  • Resilience and adaptability in managing shifting priorities, ambiguity, evolving executive needs, and unexpected changes with sound judgment;
  • Excellent writing and editing skills;
  • Exceptional organizational skills and attention to detail;
  • Ability to manage multiple priorities in a deadline-driven environment;
  • Proficiency in Microsoft Office and Google Workspace.
