About the role
- Serving as primary executive support to senior leadership, providing high-trust administrative support, including managing complex executive calendars to align schedules with evolving business priorities;
- Acting as a liaison between executives and internal/external stakeholders;
- Handling sensitive and confidential information with discretion and professionalism;
- Proactively coordinating client meetings, internal strategy sessions, board engagements, travel, and conferences;
- Preparing briefing materials and ensuring leaders are prepared for high-impact engagements;
- Coordinating travel logistics, itineraries, and expense documentation;
- Supporting the day-to-day operations of the DC office to ensure an organized, welcoming, and efficient environment;
- Providing top-quality service to internal and external stakeholders, including remote and NYC office based employees;
- Managing vendor relationships and track operational expenses;
- Maintaining office budget tracking systems and drafting spend recommendations as needed;
- Leading logistics for in-house and off-site activities that strengthen culture and collaboration;
- Supporting various contract processes and facilitating reviews with legal team;
- Joining colleagues in building an inclusive environment, actively advancing MissionWired’s DEIB values;
- Serving as a professional representative of MissionWired internally and externally.
Requirements
- 2+ years of experience serving as a primary administrative or operational liaison in a professional office environment;
- Demonstrated ability to anticipate leadership needs and proactively resolve scheduling or workflow bottlenecks;
- Experience supporting senior leadership in a fast-paced, client-facing organization;
- Proven ability to build trusted relationships with internal stakeholders;
- Strong judgment and discretion when handling confidential information;Demonstrated ability to remain calm, professional, and solutions-oriented in high-pressure or time-sensitive situations;
- Resilience and adaptability in managing shifting priorities, ambiguity, evolving executive needs, and unexpected changes with sound judgment;
- Excellent writing and editing skills;
- Exceptional organizational skills and attention to detail;
- Ability to manage multiple priorities in a deadline-driven environment;
- Proficiency in Microsoft Office and Google Workspace.
