About the role

  • Manage complex calendars and daily scheduling for executives and join meetings/calls, take accurate minutes, and ensure timely distribution and follow-up on action items;
  • Prepare PowerPoint presentations, project summaries, and financial or operational reports as requested and handle confidential information with discretion, sound judgment, and professionalism;
  • Arrange end-to-end travel logistics including documentation, approvals, flights, accommodation, and transportation and process expense claims and manage credit card reconciliations for superiors;
  • Support various executive-led projects by managing project logistics, documentation, descriptions, quotes, timelines, and status updates;
  • Coordinate with Financial Controllers during month-end to ensure accuracy and quality of submitted information and follow up on timesheet discrepancies, missing entries, or late submissions;
  • Maintain internal databases and support reporting activities (utilization, forecasting, resourcing, etc.) also to ensure adherence to internal policies (travel, expenses, recruitment, etc.) and follow up on compliance.

Requirements

  • Fluency in English – minimum B2 level (oral, written, and presentation skills);
  • Excellent communication and interpersonal skills, able to interact professionally at all organizational levels;
  • Strong initiative and ability to operate with minimal supervision and customer-service-oriented mindset;
  • Demonstrated ability to handle confidential information and exercise sound judgment;
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and experience coordinating projects or supporting senior management;
  • Professional demeanor and ability to build trust across teams and high attention to detail and accuracy.
