About the role
- Provide professional, welcoming front desk coverage and serve as the first point of contact for guests and visitors
- Ensure consistent reception coverage during business hours (in coordination with internal staff rotation)
- Manage incoming mail, packages, and deliveries
- Support procurement activities, including placing orders and tracking purchases
- Manage Fed Ex invoices
- Coordinate vendor scheduling for maintenance, facilities, and M&O-related services
- Assist with submitting and tracking payment requests, invoices, and expense reconciliations
- Partner with Finance to ensure proper documentation and timely processing
- Assist with internal communications such as office updates and inclement weather notifications
- Maintain office systems such as directories, shared calendars, and administrative trackers
- Help maintain an organized, efficient, and well-functioning office environment
- Take on additional administrative and operational tasks as needed
- Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines
- Other duties as assigned
Requirements
- Bachelor’s degree
- 3–5 years of relevant administrative or operations experience
- Experience supporting office operations, procurement, or coordination activities
- Strong organizational skills and attention to detail
- Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook and Teams
- Experience with Canva, Zoom and Salesforce is helpful.
