About the role

  • Reconcile, record and track supplier and customer invoices.
  • Monitor payments and follow up on overdue invoices.
  • Record and verify travel expenses and expense claims.
  • Manage member contribution calls and payments (recording, tracking, reminders).
  • Reconcile the accounting software with membership contribution accounts.
  • Monitor cash flow (receipts/payments, dashboards).
  • Monitor and update lease and maintenance contracts (telephony, IT, copier).
  • Monitor allocation in cost accounting by program/initiative to analyze and validate expenditures.
  • Prepare various reports to monitor the association's effective management.
  • Administrative follow-up and updating of CRM data.
  • Manage calendar and emails (sorting, follow-up and prioritization).
  • Format and proofread documents.
  • Order office supplies.
  • Handle inquiries (incoming calls and emails).
  • Monitor public funding, calls for proposals and audits/controls.
  • Prepare and transmit payroll variables to the accounting firm.
  • Check payslips before distribution.
  • Track absences and working time (paid leave, RTT/time off in lieu, sick leave).
  • Process and verify employees' expense claims.
  • Handle hiring and departure formalities (initial declaration of employment - DPAE, enrollment in supplementary health insurance and welfare schemes, staff register, occupational health).

Requirements

  • Qualification in Executive Assistance, Accounting/Management or equivalent (minimum two-year post-secondary qualification preferred).
  • Experience in an SME or association preferred.
  • Proficient with IT tools (Office Suite, CRM).
  • Rigour, reliability and strong organisational skills.
  • Discretion and respect for confidentiality.
  • Good interpersonal skills and ability to work independently.
