About the role

  • Prepare and draft documents, as required, for extra-provincial annual maintenance, registrations and cancellations, and amendments to documents related to name changes, changes in the number of directors, and changes of registered office
  • Manage mail for the paraprofessionals team and provide daily support to business law paraprofessionals
  • Upload documents to closing files and handle the preparation of correspondence
  • Maintain the share certificate library and corporate databases (ALF and EnAct)
  • Ensure documents are filed in the minute books and in the firm's document management system
  • Provide ongoing support when assistants are absent; support assistants who may be managing multiple tasks and/or tight deadlines; and work proactively as a positive, productive member of the team
  • Coordinate and assign tasks to various resource groups such as document specialists, administrative clerks, billing analysts, etc., as required, while ensuring tasks are completed in a timely manner
  • Coordinate meetings, including room bookings, meal arrangements and audio-visual equipment
  • Maintain and update professional knowledge and technical skills by identifying and participating in training opportunities
  • Ensure the quality and accuracy of all work, and ensure that all work is completed within reasonable timeframes

Requirements

  • Legal assistant diploma or equivalent
  • At least three years' experience as a legal assistant (real estate, financial services or securities experience an asset)
  • Bilingual (French and English, spoken and written)
  • Strong knowledge of legal terminology and court rules and procedures
  • Excellent attention to detail and superior word-processing, spelling, proofreading and editing skills
  • Ability to complete tasks quickly and accurately
  • Excellent time-management skills to meet tight deadlines; strong organizational skills and versatility; ability to work under pressure
  • Ability to follow up on files and meet timelines with minimal supervision
  • Highest level of discretion and respect for confidentiality
  • High flexibility, including willingness to work overtime when required
