About the role

  • Create a variety of legal and other documents by typing, transcription, scanning, or other methods
  • Document processing includes style management, mail merge, inserting media into presentations, creating cross-references, indexing, creating tables (including financial tables), handling charts and objects, using graphics applications, etc.
  • Proofread and review documents to ensure they are logical and clear, formatting is appropriate, and spelling and grammar are correct
  • Compare different versions of documents, verify revisions are accurate, and correct documents if alterations have occurred
  • Develop a practical understanding and working knowledge of firm procedures for producing documents from established precedents
  • Respond promptly to requests, meet deadlines, and work cooperatively with other departments and staff across the firm
  • Build expertise in word processing to handle complex legal and other documents
  • Proactively manage varied workloads with minimal supervision and oversight
  • Quality-check own work, seek clarification when necessary, and review peers’ work as required
  • Support team members and act as a mentor when needed
  • Properly manage the process for handling document production requests and support requests, including prioritizing needs and coordinating work end-to-end
  • Provide firm-wide assistance in preparing documents using the Microsoft suite (e.g., Word, Excel, PowerPoint, Visio)
  • Log, record, and manage all calls, emails, voicemails, and visits, and follow up to provide timely support
  • Manage routing and resolution of issues (call tracking, research, updating the knowledge base)
  • Review document production and support issues and procedures; recommend solutions as needed
  • Perform other assigned duties

Requirements

  • Bilingual in French and English
  • College diploma (office administration, legal specialty or related field)
  • 3 years of experience in a professional environment; document production experience is an asset
  • Knowledge of legal terminology, documents, and procedures is an asset
  • Strong attention to detail and excellent spelling, grammar, and proofreading skills in both French and English
  • Highly personable and tactful on the phone; able to communicate effectively and respectfully with clients of the Document Processing Specialists Group
  • Ability to transfer knowledge in a pleasant, effective, and efficient manner using various techniques
  • Patient, flexible, and able to handle difficult situations effectively
  • Well-organized, strong attention to detail, and solid proofreading skills
  • Ability to maintain excellent interpersonal relationships and work well under pressure and stress
  • Strong analytical and problem-solving skills, with the ability to visualize and present creative solutions
  • Ability to adapt to varying work schedules (weekdays, weekends and holidays, as required)
  • Confidence to work independently, set priorities, make day-to-day decisions, and recognize when to seek supervisor assistance
  • Typing speed of 80–100 words per minute
