About the role
- Providing essential administrative support to ensure smooth and efficient functioning of the department and the site.
- Performing a variety of executive administrative support duties that are complex in nature requiring judgment and initiative.
- Scheduling meetings, managing calendars, and coordinating travel arrangements.
- Assisting in the preparation and editing of reports, presentations, and other documents.
- Supporting the implementation of office policies and procedures and monitoring compliance.
- Coordinating logistics for internal and external events such as conferences, site tours, and workshops.
- Processing expense reports and invoices, assisting with budget tracking and financial record-keeping.
- Serving as a liaison between the leadership team and other internal teams, as well as external partners and vendors.
- Performing data entry and maintaining databases, ensuring the integrity and confidentiality of information.
- Supporting general office duties, including ordering and stocking of office supplies and snacks.
Requirements
- High School Diploma or equivalent
- Minimum of 10 years of prior relevant administrative experience or 2 years post-Secondary/Associates Degree with a minimum of 6 years of prior related administrative experience
- 4+ years’ experience with Microsoft Office tools (Microsoft Word, Excel, PowerPoint, Outlook, Teams and Zoom)
- 2+ years experience as Senior Executive Assistant required
- Excellent verbal, written and interpersonal communication skills
- Ability to manage multiple tasks and prioritize effectively
- Proactive problem-solving skills and a strategic mindset
- Experience with SharePoint administration, Concur/SAP, ARIBA and Envoy preferred
- Prior Aerospace & Defense Industry experience.
- High level of maturity and confidentiality relating to sensitive information.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks under critical time constraints.
- Experience in project management, including planning, monitoring, and resolving issues.

- Weekly compensated overtime may be required as this is a non-exempt position.
