Plan, support, and organize daily activities of the office or program for the Executive Vice President (EVP).
Provide complex administrative, project, and calendar support to the EVP and comparable business leaders.
Manage team and/or assigned leaders' calendars; plan and schedule meetings and coordinate associated logistics.
Support administration of the department/unit's budget, including monitoring and tracking expenses, budget reconciliation, resolving issues, and assisting with budget projections.
Independently develop and manage complex administrative projects (databases, reports, grant proposals, office workflow, records control, course materials).
Coordinate purchasing processes; process department bills and reconcile accounts.
Prepare meeting materials, record and draft minutes, monitor and follow-up on action items, and staff high level meetings.
Coordinate and provide general office services (payroll, purchasing, records control, office moves/renovations, repairs and maintenance) and serve as liaison with facilities as needed.
Analyze operating practices and recommend administrative processes/procedures to assure efficiency.
Assist with planning special events/functions, including workshops and conferences, and coordinate preparation, set up and logistics for events/functions.
Manage daily calendar of the EVP by scheduling internal and external meetings, travel and events and adjust schedule as priorities shift.
Work closely with the Executive Specialist and Deputy Chief of Staff; available during non-office hours for questions and follow up.
Perform other related duties as requested and coordinate work assignments of students and/or temporary office support as needed.
Requirements
High School Diploma or graduation equivalent.
Five years progressively responsible administrative experience.
Additional education may substitute for required experience and additional related experience may substitute for required education per JHU equivalency formula.
Must be able to work well at a fast pace.
Extremely high level of good judgment and problem-solving and critical thinking ability.
Excellent organizational skills and close attention to detail.
Positive attitude, flexibility, and eagerness to collaborate with others.
Unerring sense of professionalism.
Expertise in organizing meetings, managing inbound calls, conference call setup, and coordinating phone calls with multiple remote participants.
Demonstrated ability with Microsoft Office suite including Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.
Some evening and weekend work required.
