About the role
- Responsible for overseeing the lifecycle of organizational documents and the RFP process
- Supports cross-functional teams by managing document workflows, maintaining version control, and implementing best practices for document retention and distribution
- Maintain a centralized document repository
- Implement version control and archiving protocols
- Ensure timely review, approval, and distribution of documents
- Enforce document control policies aligned with legal and regulatory standards (e.g., ISO, HIPAA, GDPR)
- Conduct periodic audits to ensure compliance and data integrity
- Design and improve workflows for document creation, approval, and storage
- Collaborate with IT and security teams to ensure system reliability and data protection
- Train staff on document management systems and procedures
- Respond to document-related inquiries and troubleshoot access issues
- Administer document management software (e.g., SharePoint, DocuSign, M-Files)
- Support digitization efforts including OCR and metadata tagging
Requirements
- Bachelor’s degree in Business Administration, Information Management, or related field
- 3+ years of experience in document control or records management
- Proficiency in Microsoft Office Suite and document management systems
- Strong organizational and time management skills
- Excellent attention to detail and problem-solving abilities
- Creates a positive work environment, demonstrates a professional attitude, and meets established goals and responsibilities while working in cooperation with colleagues
