About the role

  • Central coordination and administration of all office management processes across our six sister companies within our Cologne entity
  • Optimization, standardization, and continuous improvement of internal office workflows, including ownership of documentation such as handbooks, guidelines, and checklists
  • Serve as a key interface between People & Culture, Management, IT, Accounting, and external service providers
  • Ownership of administrative onboarding processes for new employees, including conducting onboarding sessions related to Office Administration and Health & Safety
  • Management of contract registers, vendors, and suppliers (e.g., facilities and cleaning services, insurance management)
  • Support in planning and coordinating internal events, workshops, and company meetings in close collaboration with the Academy & Events team
  • Maintain and promote our administrative processes and internal standards through continuous advocacy
  • Contribute to cross-functional projects and continuous improvement initiatives across ISCC
  • Provide guidance and oversight for interns and working students

Requirements

  • University degree in the humanities, business administration, or a related field, or equivalent vocational training
  • Minimum 3–5 years of relevant professional experience in office administration or a comparable environment
  • Very good German and English language skills (at least C1, both written and spoken)
  • Strong process-oriented mindset with experience in workflow optimization and documentation
  • Excellent organizational, prioritization, and decision-making skills
  • Service-oriented attitude with an approachable, friendly, and diplomatic manner
  • High level of independence, reliability, and attention to detail
  • Strong communication and interpersonal skills, including intercultural competence, presentation, and stakeholder management
  • Very good MS Office and general IT user skills
