About the role
- Maintain and update employee records across HRIS, ensuring data accuracy and GDPR compliance
- Support contract management: preparation of employment contracts, amendments, extensions, and termination documentation in line with applicable CCNL and Italian labor law
- Assist with payroll-related inputs (attendance, leave, variable compensation data) in coordination with payroll/finance
- Handle employee inquiries on HR policies, procedures, benefits, and contractual matters — acting as a first point of contact with a service-oriented approach
- Support mandatory compliance activities (communications to authorities, mandatory training tracking, health & safety documentation)
- Prepare HR reports, dashboards, and documentation for internal stakeholders
- Assist in posting job ads, screening candidates, and scheduling interviews
- Coordinate with hiring managers throughout the recruitment process
- Maintain candidate records in the ATS and support recruitment KPI tracking
- Liaise with talent suppliers, staffing agencies, and university career centers
- Coordinate onboarding documentation, induction sessions, and orientation activities
- Support employee lifecycle processes: probation reviews, internal transfers, offboarding
- Ensure compliance with HR policies at each stage
- Leverage AI/LLM tools to streamline and automate repetitive HR workflows (e.g., document drafting, data extraction, reporting, FAQ handling)
- Proactively identify opportunities to improve HR processes through technology
- Stay current on AI tools relevant to HR and act as a resource for the broader HR team
- Support employer branding initiatives on social media, job boards, and at job fairs
- Contribute to internal engagement and communication initiatives
- Work cross-functionally with internal teams across both legal entities
- Provide timely, empathetic communication to employees and candidates alike
Requirements
- Master degree in Humanities, Digital Humanities, Economics, or Law.
- Native Italian speaker and English proficiency (minimum B2 level).
- 2–5 years of experience in an HR generalist or HR operations role
- Working knowledge of Italian labor law and CCNL regulations
- Experience with HRIS platforms (e.g., Workday, SAP SuccessFactors, Zucchetti, or similar)
- Proficiency in data analysis and reporting tools: advanced Excel (pivot tables, VLOOKUP/XLOOKUP, Power Query) and experience with BI tools (e.g., Power BI, Tableau, or Looker) to build HR dashboards and support data-driven decision making
- Familiarity with AI/LLM tools (e.g., ChatGPT, Copilot, Claude) and genuine interest in applying them to automate and improve HR workflows
- Fluent in Italian; professional proficiency in English
