About the role
- Plan, schedule and host (or co-host) workshops in Japanese and English (virtual and/or in-person)
- Prepare agendas, pre-reads and workshop materials; ensure the right people are in the room
- Capture notes, decisions and actions; translate/interpret key points where required
- Produce clear post-workshop summaries, action logs, and next-step plans
- Own timelines, run-of-show, and stakeholder scheduling across multiple time zones
- Maintain project trackers, action logs and status updates; escalate risks early
- Coordinate approvals and ensure final deliverables are distributed cleanly and on time
- Act as the central point of coordination for design requests (briefing, prioritisation, scheduling)
- Triage incoming requests, align expectations, and manage deadlines with internal teams
- Coordinate feedback loops to avoid churn and keep delivery efficient
- Communicate confidently and professionally with stakeholders in both languages
- Ensure stakeholders feel informed: proactive updates, clear next steps, no surprises
- Support basic marketing planning and coordination activities (campaign calendars, content needs, workshop outputs into action)
- Help translate workshop outcomes into practical deliverables (briefs, messaging notes, content requirements)
Requirements
- Fluent Japanese and English (written and spoken) with strong business communication skills
- Strong marketing grasp (campaign basics, messaging, audience thinking, content workflow)
- Confident facilitator: comfortable guiding groups, and keeping sessions moving
- Excellent organisation and attention to detail; calm under pressure and deadline-driven
- Strong business awareness: understands priorities, constraints, and how to manage trade-offs
- Comfortable coordinating multiple stakeholders and navigating ambiguity
- Experience working with agency teams and/or cross-functional creative/design workflows
- Proficiency with common coordination tools
- Bonus: experience in technology, B2B, or complex enterprise environments
- Bonus: experience working with Japanese organisations or Japan-based projects
