About the role
- Maintain accurate data within Dynamics CRM system, including updating opportunity details, requesting Engagement Agreements, closing engagements, and updating billing details
- Assist with case opening tasks such as adding projects to the timekeeping system and creating project folders on server
- Provide meeting support, including overseeing agendas, tracking meeting to-do lists, and coordinating follow-up tasks
- Act as a liaison and influencer between all service lines and within shared services
- Monitor emails and requests from the shared inbox and actively solve immediate needs for consultants and other key stakeholders
- Participate and collaborate in special company and/or division-wide projects; occasionally lead projects
- Assist with, support, and update training materials as needed
- Influence and support system and process adoption throughout IMS
- Lead and represent vendor contract management functions; develop and implement standard operating procedures
- Manage entire vendor lifecycle, including selection, onboarding, performance monitoring, and offboarding
- Participate in vendor selection and evaluation, review proposals, facilitate onboarding
- Negotiate contract terms, pricing, and service level agreements and manage vendor contracts for compliance
- Establish vendor relationships; monitor performance and resolve disputes or escalations
- Track contract milestones, licenses, renewals, amendments, and expirations
- Identify and mitigate risks associated with vendor relationships
- Manage budgets by optimizing vendor costs and finding opportunities for cost savings
- Collaborate cross-functionally with finance, legal, and other departments to ensure contract alignment
- Conduct regular contract audits and analyze vendor performance data
- Communicate contract terms, obligations, and changes to relevant stakeholders
- Maintain accurate records of contracts, correspondence, and vendor documentation within approved systems
- Ensure compliance with regulatory requirements, ethical standards, and internal controls throughout the contract lifecycle
- Liaison with M&A team through due diligence, integration planning, integration execution, and benefit validation and integration activities related to vendor contract management
Requirements
- BS or BA degree or an equivalent combination of education, training, and experience
- 5-7+ years of relevant experience
- Prior experience in vendor management or supply chain management
- Previous law or consulting firm experience is a plus
- Lean Six Sigma Certification is a plus
- Ability to use a wide range of tools, resources, and department software
- Strong computer and data entry skills; proficient with Microsoft Office Suite (Outlook, Word, Excel, Teams, and PowerPoint)
- Experience with Dynamics CRM and Smartsheets is preferred
- Familiarity with Vendor Management Systems (VMS)
- Strong administrative skills—organized, thorough, systems-oriented, and meticulous attention to detail
- Exceptional communication skills via verbal and electronic exchange, as well as competency in grammar, spelling, and proofreading
- Outstanding people skills and the ability to build and leverage relationships successfully
- Demonstrates initiative, follow-through, and the ability to troubleshoot and problem-solve creatively, effectively, and efficiently.
