About the role

  • Provide dedicated support to the Senior Vice President of Supply Chain Operations.
  • Maintain and coordinate complex calendars across multiple time zones.
  • Screen and prioritize incoming communications, including email, phone calls, mail, and voicemail.
  • Draft, edit, and manage correspondence, presentations, and reports.
  • Prepare meeting agendas, capture detailed notes, distribute action items, and follow up to ensure timely completion.
  • Organize internal and executive-level meetings, including logistics and presentation materials.
  • Arrange domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Prepare, submit, and reconcile expense reports accurately and in a timely manner.
  • Compile, analyze, and present data for reports, dashboards, and executive presentations using Excel and PowerPoint.
  • Assist with purchase orders, invoicing, and coordination with vendors and suppliers.
  • Maintain office supply inventory and coordinate equipment upkeep.
  • Coordinate activities between departments and external partners to ensure timely execution of requests.

Requirements

  • Associate’s degree required; Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.
  • Minimum of 5 years of experience supporting senior-level executives, preferably within a global organization.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Exceptional organizational, time management, and prioritization skills.
  • Ability to manage multiple priorities and adapt quickly to shifting deadlines.
  • Strong attention to detail with an analytical mindset.
  • Excellent written and verbal communication abilities.
  • Professional demeanor with excellent phone and interpersonal communication skills.
  • Ability to work independently with minimal supervision and make informed decisions.
  • Proven ability to troubleshoot and resolve administrative issues efficiently.
  • High level of professionalism, discretion, and sound judgment.
  • Comfort working across multiple time zones and with global teams.
  • Positive, forward-thinking attitude with the ability to anticipate executive needs.
