• Own and maintain the weekly P&L, ensuring all income and expenses are accurately recorded and up to date.
• Perform weekly reconciliation inside Xero, matching transactions and resolving discrepancies before they compound.
• Prepare and send client invoices on time, following up firmly and professionally until payment is received.
• Prepare and send candidate invoices, coordinating with the Talent Acquisition team to ensure billing accuracy.
• Manage payment follow-ups across all outstanding invoices — nothing falls through the cracks.
• Monitor and manage financial inboxes, triaging emails and responding or escalating with urgency and precision.
• Track all incoming and outgoing payments, flagging anomalies immediately to leadership.
• Maintain clean, organised records inside Xero and any supporting tools (Airtable / ClickUp / Notion).
• Coordinate with the Customer Success and Talent Acquisition teams to align billing with active placements and contracts.
• Produce weekly financial snapshots and summary reports for internal review.
• Flag cash flow risks, overdue accounts, and irregularities proactively — don't wait to be asked.

• Act as the main point of contact for candidates across Slack, email, LinkedIn, and the Hiry platform.
• Manage and moderate the Hiry Slack community, making sure conversations stay professional, helpful, and organized.
• Share new job opportunities and relevant updates with the community.
• Welcome new members into the network and help them understand how everything works.
• Answer candidate questions regarding roles, hiring processes, and next steps.
• Follow up with candidates when needed and keep communication consistent.
• Identify strong candidates in the community and flag them to the Talent Acquisition team.
• Track candidate communication and updates inside Airtable / ClickUp to keep information organized.
• Coordinate with the Talent Acquisition team and Customer Success Manager to stay aligned on roles and priorities.
• Help keep the community active and valuable for candidates in the network.

Recruitment

• Reach out to candidates daily via LinkedIn and other platforms using personalized messages
• Handle inbound replies and maintain DAILY inbox zero
• Qualify candidates quickly via chat (and short calls when needed)
• Book qualified candidates onto our calendars
• Track, label, and update every lead inside Airtable / ClickUp
• Use automated outreach systems + manual follow-ups to keep response rates high
• Ensure super fast response times (this is critical)
• Report directly to our Head of Fulfillment
• Hit KPIs around: Response time, Booked calls, Qualified conversations
• Keep pipelines clean: no ghosted leads, no messy statuses
• Understand candidate intent, availability, and expectations before booking
• Work closely with Customer Success + Interview Managers to align daily priorities
• Suggest small process improvements to make outreach faster and smoother

Appointment Setter, Talent Acquisition

Affiliate Manager

• Act as the main point of contact for candidates, managing communication across Slack, LinkedIn, email, and our internal platform.
• Proactively follow up to keep candidates informed and engaged throughout the hiring process.

Appointment Setter – Talent Acquisition

Customer Success Manager

• Manage relationships with DTC clients from onboarding to successful placement, ensuring a smooth and professional experience.
• Run regular check-in calls, performance reviews, and pipeline updates to keep clients fully aligned on progress.
• Oversee our Talent Partners and Talent Acquisition Specialists to make sure they’re sourcing the right candidates, fast and accurately.
• Review candidate submissions before they go to the client, guaranteeing quality, alignment, and fit.
• Identify upsell, cross-sell, and renewal opportunities based on client needs, workloads, and upcoming roles.
• Coordinate interview scheduling, feedback loops, and next steps between clients and candidates.
• Monitor CRM activity (Airtable / ClickUp) and ensure all roles, candidates, and client updates are documented correctly.
• Troubleshoot issues quickly — whether it’s pipeline delays, candidate quality concerns, or misalignment in expectations.
• Suggest improvements to client communication, sourcing flow, and fulfillment processes to keep everything sharp, fast, and clutter-free.
