About the role

  • Support leadership and managers with scheduling, coordination, and follow-ups
  • Maintain organized documentation, trackers, and internal records
  • Prepare summaries, notes, and basic reports to support decision-making
  • Help keep projects and internal initiatives moving forward
  • Work with multiple managers across operations, partnerships, and internal teams
  • Coordinate timelines, deliverables, and communication between stakeholders
  • Follow up on action items and ensure nothing falls through the cracks
  • Assist with outbound communication to brands, partners, or external stakeholders
  • Draft and send professional emails and follow-ups
  • Maintain outreach lists, CRM entries, or partnership trackers as needed
  • Support basic billing, invoicing, and finance-related tasks
  • Track payments, expenses, or simple financial records
  • Coordinate with leadership or external partners on billing questions or documentation

Requirements

  • **3+ years** of experience as an Executive Assistant, Operations Assistant, or similar role
  • Strong written and verbal **English communication skills**
  • High attention to detail with strong organizational habits
  • Comfort juggling multiple priorities across different teams
  • Experience supporting operations, admin, or business processes
  • Ability to work independently and proactively in a startup environment
  • Previous experience in health-tech, SaaS, or technology startups (Nice to Have)
  • Background supporting billing, finance, or invoicing workflows (Nice to Have)
  • Familiarity with tools like Google Workspace, Notion, Airtable, or CRMs (Nice to Have)
  • Experience coordinating with external partners or brands (Nice to Have)
