About the role

  • Manage calendars, meetings, and scheduling across multiple time zones
  • Handle travel planning, document organization, and meeting follow-ups
  • Prepare summaries, reports, and briefing documents for leadership
  • Maintain confidentiality and handle sensitive information with discretion
  • Serve as a liaison between English- and Mandarin-speaking partners, clients, or vendors
  • Translate and summarize emails, documents, and messages as needed
  • Support cross-border coordination with teams, service providers, or stakeholders
  • Assist with scheduling and communication for international meetings or negotiations
  • Keep internal files, trackers, and documentation organized and up to date
  • Support task tracking, reminders, and follow-through on executive priorities
  • Assist with vendor coordination, invoices, and basic operational workflows
  • Help improve systems and processes to reduce friction and delays
  • Conduct research using both English and Mandarin sources
  • Support real estate-related research such as properties, vendors, markets, or documentation when applicable
  • Assist with presentations, proposals, and document formatting
  • Maintain contact lists, databases, and internal trackers

Requirements

  • Fluency in Mandarin Chinese and English, written and spoken
  • 3+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Coordinator
  • Strong organizational skills and attention to detail
  • Clear, professional communication style across written and verbal channels
  • Ability to work independently, prioritize tasks, and manage multiple responsibilities
  • Comfort using tools such as Google Workspace, Notion, Slack, or similar platforms
  • Nice to Have: Experience supporting real estate, property management, development, or investment teams
  • Background working with international or cross-border businesses
  • Familiarity with tools like WeChat, WhatsApp, Lark, or Telegram for business communication
  • Experience coordinating with vendors, brokers, or external partners
