About the role
- Prepare and generate offer letters in accordance with approved compensation, leveling, and internal policies
- Coordinate offer approvals with recruiters, hiring managers, HR, and finance as needed
- Send offers to candidates and track acceptance, declines, and negotiations
- Manage pre-employment requirements, including background checks, reference checks, and employment eligibility verification
- Communicate next steps clearly to candidates after offer acceptance
- Initiate and track onboarding workflows in HRIS/onboarding systems
- Collect and verify new hire documentation (I-9, tax forms, agreements, policy acknowledgments)
- Coordinate start dates and ensure alignment across recruiting, HR, Training, and hiring managers
- Provide new hires with onboarding schedules, welcome materials, and first-day instructions
- Ensure all onboarding tasks are completed prior to Day One
- Serve as a point of contact for new hires on Day One to troubleshoot issues
- Coordinate introductions and handoffs to Training & HR
- Ensure a smooth transition from recruiting to onboarding and employee lifecycle ownership
- Ensure all offer and onboarding processes comply with legal, regulatory, and company policies
- Maintain accurate records in ATS and HRIS systems
- Track onboarding completion metrics and resolve outstanding items promptly
- Identify process gaps and recommend improvements to offer and onboarding workflows
Requirements
- Proven experience as a Talent Acquisition Coordinator, or similar role.
- Familiarity and proficiency with Applicant Tracking Systems (ATS) and HR software
- Exceptional interpersonal, communication, and relationship-building skills, with the ability to engage effectively with a diverse range of stakeholders and candidates.
- Strong organizational and time-management abilities, with the capacity to manage multiple open positions and prioritize tasks in a fast-paced environment.
- Strong problem-solving skills and a data-driven approach to recruitment.
