About the role

  • Responsible for the effective and efficient provision of administrative and secretarial support to the Physiotherapy Department.
  • Assisting the Manager of Health Services with administrative functions and establishing priorities.
  • Assisting the Manager with the ongoing monitoring and analysis of operating budgets and expenditures.
  • Assisting the Manager of Health Services in dealing with confidential Human Resources and Finance related information and tasks.
  • Payroll entries in ESP and SAP for the relevant departments.
  • Coordinating meetings, attending and recording minutes.
  • Designing, formatting, collating, entering and compiling statistics and generating reports for the Manager, Health Services.
  • Supervising the secretarial component of the Rehab Assistants by; establishing work procedures, monitoring effective and timely management of assigned duties and follow-up.
  • Acting as a liaison between the Physiotherapy Department and the other HSC departments, government agencies and external organizations as delegated by the Manager, Health Services.

Requirements

  • 3 years previous experience in a senior secretarial position requiring considerable communication with staff at all levels in the organization.
  • Complete high school education, Manitoba Standards, required.
  • Successful completion of a recognized secretarial training program required.
  • Certificate courses in supervision/administration/management preferred.
  • A combination of education and experience may be considered.
  • Typing 65-70 wpm.
  • Medical terminology required.
  • Demonstrated proficiency in the use of Microsoft Office (Word, Access, Excel, PowerPoint and Outlook) required.
  • Proficiency in the Workforce ESP (ESP) timekeeping system and SAP required.
  • Proficiency in the Electronic Patient Record (EPR) system preferred.
  • Must have excellent English communication skills (written and verbal) and strong interpersonal skills.
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
