About the role

  • Manage leaders’ calendars, prioritize meeting requests, and coordinate meeting logistics.
  • Coordinate travel and itineraries for the leader and their team, as needed.
  • Anticipates needs and streamlines processes for aligned VPs.
  • Prepares reports, communications, and presentation materials.
  • Manages department events and employee engagement activities, including managing logistics such as venue, food, and onsite support.
  • Partner with stakeholders and other departments to support business operations.
  • Serve as a liaison between the VP and internal/external stakeholders.
  • Manage departmental systems and expense tracking, including generating routine reports to support operational efficiency and budget oversight.
  • Plays a key role in onboarding and backup support for other admins.
  • Demonstrates knowledge of business operations and supports process improvements.

Requirements

  • 3+ years of administrative experience
  • Experience supporting multiple executive leaders and/or departments
  • High School Diploma or equivalent
  • Strong organizational and communication skills
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook)
  • Ability to handle confidential information with discretion
  • High attention to detail and strong customer service orientation
  • Demonstrated ability to manage multiple tasks and meet deadlines in a dynamic environment
