About the role
- Provide project accounting support to project managers, including processing budget revisions, reviewing and entering subcontractor pay applications and vendor invoices, generating client invoices, researching payment inquiries, and running job cost reports.
- Assist project managers with project estimates, proposals, and sub-consultant contracts by reviewing for accuracy and formatting.
- Maintain and update contract documents using AIA software.
- Maintain and update standard operating procedures (SOPs).
- Organize and support procedures that enhance office efficiency and ensure quality control of documents, reports, letters, and specifications.
- Manage project documentation and controls, including new vendor setup, contracts and purchase orders, change management, and vendor compliance tracking.
- Assist project managers with new project setup and project closing procedures.
- Track and report certified payrolls for both internal staff and subcontractors/vendors.
- Order and print bid documents and construction drawings upon request.
- Other duties as assigned.
Requirements
- Bachelor's degree in construction management, business administration, or a related field AND 2+ years of relevant experience OR an equivalent combination of education and experience.
- Knowledge of project cost accounting principles and practices.
- General ledger cost accounting experience, preferred.
- Prior experience in the commercial construction industry, preferred.
- Proficiency with Microsoft Office, including Excel, Word, and PowerPoint.
- Ability to learn and gain proficiency in construction specific software (i.e., Viewpoint Spectrum, etc.).
- Strong mathematical aptitude and analytical thinking.
- Detail oriented with the ability to manage multiple projects and deadlines simultaneously.
- Skilled in composing, editing, and proofreading business documents with accuracy and professionalism.
- Excellent verbal and written communication skills with a proactive, problem-solving mindset.
- Manages emotions under pressure and helps resolve conflicts through clear, respectful communication.
