About the role

  • Responsible for the professionalism, productivity, performance, and consistency of the Admissions team.
  • Drive admissions volume, conversion rates, and census targets through active management of the admissions pipeline.
  • Own and optimize the full admissions funnel from initial inquiry through admission, identifying and addressing bottlenecks.
  • Staffing (hiring, training, scheduling, onboarding).
  • Evaluation (performance management, performance evaluation).
  • Training (skills and competencies, professional development, career planning), including coaching on call handling, urgency, and conversion.
  • Develop and implement administrative policies and procedures to attain admission goals and objectives.
  • Oversee department productivity to meet established standards and performance benchmarks.
  • Supervision of administrative tasks.
  • Schedule and facilitate department meetings.
  • Ensure appropriate and timely coverage of all inquiries (phone and online), assisting with responses as needed.
  • Conduct and oversee pre-admission communications with clients, family members, and referents with a focus on responsiveness and conversion.
  • Ensure client, family, and referent satisfaction with the Admissions process.
  • Maintain internal communication with Medical/Clinical teams to ensure prospective clients meet appropriate admissions criteria while maintaining efficiency in decision-making.
  • Supervise and assist with pre-admission assessments, admissions screenings, verification of benefits, and identification of financial guarantor.
  • Coordinate with Marketing/Outreach to align referral flow, improve lead quality, and expedite admissions.
  • Oversee transportation logistics for every client entering the program, assisting with transport when necessary.
  • Oversee and maintain accurate admissions and referral data entry within the CRM system.
  • Develop, track, and report on key performance metrics including inquiries, conversion rates, time to admission, and admissions volume.
  • Compile statistics and data relevant to Admissions department and provide regular reporting to leadership.
  • Continuously evaluate processes and systems to improve efficiency, scalability, and performance of the admissions function.
  • Other duties as assigned.

Requirements

  • Bachelor’s degree preferred, high school diploma or equivalent required.
  • Minimum of 3 years of experience in admissions, intake coordination, or patient access within the addiction treatment or healthcare industry.
  • Three plus years supervisory experience.
  • Experience managing high-volume admissions environments preferred.
  • Demonstrated experience with CRM systems, including pipeline management, reporting, and workflow optimization.
  • Effective people management skills.
  • Strong customer service and relationship building skills.
  • Ability to listen well and offer solutions.
  • Results driven with a proven track-record of meeting and exceeding defined goals, including admissions and conversion targets.
  • Strong understanding of admissions as a performance-driven function, including urgency, responsiveness, and follow-through.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to think strategically, weighing options and making informed recommendations.
  • Ability to manage competing priorities efficiently and effectively.
  • Strong analytical and data-driven decision-making skills, with the ability to track and interpret key performance metrics.
  • Knowledge of industry and trauma-integrated care.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with CRM systems and data reporting tools.
  • Familiarity with ASAM criteria, HIPAA and 42 CFR Part 2 compliance.
  • On-call availability evenings and weekends via telephone.
  • Valid, non-restricted Colorado driver's license.
  • Current CPR certification or ability to gain certification within the first 30 days of employment.
