About the role

  • Oversee daily practice operations according to established SOPs, ensuring consistent delivery of administrative and operational functions.
  • Manage recurring operational tasks and checklists to ensure nothing falls through the cracks in daily practice operations.
  • Manage administrative logistics including scheduling, coverage, resource allocation, and routine practice communications.
  • Monitor and track staff licensing deadlines, renewals, and required documentation to ensure all licensing tasks are completed on time.
  • Communicate directly with clinic staff as the first point of contact for routine practice questions, troubleshooting operational issues, and real-time support.
  • Review member survey feedback, communicate feedback appropriately to clinicians, nurses, or leadership, and track resolution to ensure member concerns are addressed.
  • Manage MD collaboration workflow including facilitating chart audits, tracking collab totals, and maintaining collaboration contracts using established templates.
  • Monitor SLA adherence and operational metrics across all practice areas, flagging deviations and trends for leadership review.
  • Conduct compliance checks and process audits to ensure processes are being followed correctly across the practice.
  • Maintain operational dashboards, tracking systems, and standard day-to-day operational report exports to provide real-time visibility into practice performance.
  • Partner with Clinical Operations Senior Manager to provide ground-level insights that inform process improvements and SOP updates.
  • Foster and maintain strong, effective working relationships with peers across FOLX and within the health industry.

Requirements

  • 3+ years' experience in practice management, healthcare administration, or related field
  • Bachelor's degree in Healthcare Administration, Business Administration, Public Health, or related field
  • Expertise in Clinical Operations, ideally in the telehealth space
  • Skilled in establishing and maintaining effective working relationships with various internal and external teams, representatives and stakeholders
  • Proficiency with Google Suite applications
  • Passion, experience and/or genuine interest in LGBTQ+ healthcare
  • Exceptional communication and collaboration skills
