About the role
- Manage day-to-day office operations, facilities (includes reception duties), and security systems
- Liaise with building management, landlords, and vendors for maintenance, lease renewals, and relocations
- Manage office budgets, monitor expenses, and support annual budgeting processes
- Assist Finance/BRM with issuer invoicing process
- Coordinate vendor contracts and ensure timely invoice processing
- Act as local HR contact: maintain employee records, assist with recruitment, onboarding, payroll, and benefits administration
- Support IT coordination and compliance tasks
- Organize office events and assist with senior management visits
- Ensure adherence to company policies and health & safety standards
- Coordinate with Company Secretaries, Board of Directors, Legal and Finance regarding Board Meetings, documentation, compiling the annual report and liaising AGM formalities
Requirements
- Qualification in Business Administration, Operations Management, or related field
- Minimum 5 years of experience in office administration, facilities management, or operations
- Strong knowledge of budgeting, vendor management, and compliance
- Proficiency in MS Office Suite; experience with SAP or similar systems is a plus
- Fluency in written and spoken English
- Ability to manage multiple priorities and work independently
- Strong problem-solving skills and attention to detail
- Experience in HR processes and payroll coordination
