About the role

  • Manage day-to-day office operations, facilities (includes reception duties), and security systems
  • Liaise with building management, landlords, and vendors for maintenance, lease renewals, and relocations
  • Manage office budgets, monitor expenses, and support annual budgeting processes
  • Assist Finance/BRM with issuer invoicing process
  • Coordinate vendor contracts and ensure timely invoice processing
  • Act as local HR contact: maintain employee records, assist with recruitment, onboarding, payroll, and benefits administration
  • Support IT coordination and compliance tasks
  • Organize office events and assist with senior management visits
  • Ensure adherence to company policies and health & safety standards
  • Coordinate with Company Secretaries, Board of Directors, Legal and Finance regarding Board Meetings, documentation, compiling the annual report and liaising AGM formalities

Requirements

  • Qualification in Business Administration, Operations Management, or related field
  • Minimum 5 years of experience in office administration, facilities management, or operations
  • Strong knowledge of budgeting, vendor management, and compliance
  • Proficiency in MS Office Suite; experience with SAP or similar systems is a plus
  • Fluency in written and spoken English
  • Ability to manage multiple priorities and work independently
  • Strong problem-solving skills and attention to detail
  • Experience in HR processes and payroll coordination
