Operations

• Ensure First Student is the industry leader in leveraging technology to create operational efficiencies
• Perform day-to- day efforts toward wage and hour compliance at all First Student Locations
• Enforce locations’ adherence to operational standards while delivering planned direct labor efficiencies
• Perform reviews and trainings for adherence to all applicable Wage and Hour regulations while utilizing FOCUS and related systems
• Prepare, analyze, present and maintain location Category data for performance reporting purposes
• Assess field and customer needs ongoing, ensuring we provide all tools needed for customer satisfaction, accurate payroll processing, and ad hoc analyses
• Follow procedure and appropriate conduct when auditing and interacting with the field to ensure delivery evokes compliance and success
• Work closely with Director Operations Support as a main resource and SME in current location and area performance
• Assist in other First Student projects as needed

Operations Support Analyst I

Client Services Representative

• Act as the main point of contact for clients regarding routing, student information, school schedules
• Manage the day-to-day scheduled trips, ensuring timeliness and troubleshooting as needed
• Regular communication with clients, team members, and transportation partners via multiple channels
• Generate and review various reports including daily trip counts and billing concerns

Client Services Representative II

Business Analyst

Accountant

• Conduct general-ledger account reconciliations, verify accuracy of data, and identify and correct errors made by internal and external personnel.
• Support monthly, quarterly, half-year, and year-end financial closes, including assigned journal entries, balance-sheet account reconciliations, accruals, and overall maintenance of operational management accounts.
• Assist in providing schedules and commentary for operational management account results and variances, and for the production of working-capital cash-flow reports.
• Maintain and update records and reports for profit and loss, taxes, liabilities, and assets.
• Prepare special financial reports, when requested by senior managers, by collecting, analyzing, and summarizing account information and trends.
• Operate with a continuous improvement mindset.

Senior Accountant

• Act as the main point of contact for clients regarding routing, student information, school schedules, etc.
• Work with Field Operations to ensure driver compliance is completed and up to date per school district and state standards.
• Manage day-to-day scheduled trips, ensuring they have started, are running on time, and troubleshoot trips needing immediate attention.
• Effectively communicate via telephone, email, text message, and chat applications with school districts, transportation partners, and team members.
• Handle escalated situations with urgency and professionalism.

Operations Representative II

Proposal Manager

• Leads and manages proposal-related business development activities, processes and materials for new and existing contracts.
• Includes proposal development, production and distribution, as well as presentations and post submittal follow-up.
• Coordinate with the Operations, Marketing, and Business Development to write and develop proposals, best-and-final offers, interview presentations and other required documents.
• Compile a Table of Compliance with Win-Theme that outlines the production specifications and section details as a guideline for development of the proposal.
• With input from Directors of Business Development and other corporate sales support staff, develop a compelling proposal with the intent to win the business.
• Author, proofread, edit, print, compile and ensure accuracy of the final proposal document.
• Ensure proposal compliance with requirements specified in the Request for Proposal (RFP).
• Complete all required forms and obtain all necessary signatures; includes bonding and insurance requests.
• Supports advertising and communications programs to promote products and services through the design, creation, and execution of materials.
• Schedule, coordinate and track proposal delivery before the specified deadline.
• Support the Business Development Team in sales efforts, including developing PowerPoint presentations, documents, reports, communications, etc.
• Maintain proposal calendar and pipeline database to account for and track proposal development and execution.
• Register with procurement websites and monitor such for new projects.
• Maintain and update proposal boilerplate, current corporate information, location profiles, resumes, bios, customer references and templates.
• Drive prospective and continuous improvement in the proposal development process and materials by identifying opportunities, building organizational support for new ideas and collaborating with sales, marketing and communications to plan and execute.

Recruitment

• Proactively build and maintain diverse pools of candidates for open positions using various sourcing methods, including online platforms, community outreach, and in-person networking.
• Collaborate with internal and external partners to create a strong brand presence within the community to attract top talent.
• Stay current with industry trends and identify new sourcing opportunities to ensure continuous improvement in the recruitment process.
• Ensure all recruiting strategies are tailored and optimized for the area, leveraging automated talent acquisition tools and local market insights.
• Partner with internal teams to develop and implement strategic recruiting initiatives that align with business needs and hiring goals.
• Analyze recruitment metrics and reports to identify trends, assess the effectiveness of sourcing strategies, and adjust as necessary.
• Cultivate relationships with local community leaders, schools, and other potential sources of talent to build a strong network and pipeline.
• Represent the company at job fairs, trade shows, and community events, showcasing the company culture and career opportunities.
• Engage with customers and stakeholders to develop partnerships that enhance the recruitment process.
• Prepare and submit recruiting reports to management, highlighting metrics such as candidate flow, source effectiveness, and hiring timelines.
• Ensure all recruiting activities follow company policies, federal and state regulations, and industry standards.
• Partner with candidate experience teams, training teams, and location managers to ensure a seamless transition from candidate sourcing to onboarding.
• Collaborate with marketing teams to develop targeted recruiting campaigns and promotional materials.
